Why dental practices miss Google reviews
Everyone on the team means to ask for reviews. Then the next patient arrives, the phone rings, and the ask never happens. A review request that depends on someone remembering will be inconsistent.
ReviewHero turns the ask into one tap on the patient record, with a polite follow-up that goes out by itself if they do not open the first email.
Getting patient emails in
The request goes out by email, so each patient needs an email address on file. There are three ways to add them:
- Quick-add a name and email in about five seconds at checkout.
- Photo capture of a paper sign-in sheet or intake list. ReviewHero reads the names and emails off the picture and shows you a confirm screen before anything is saved.
- CSV import of patients you already hold. You map the name and email columns and confirm the consent statement.
Only contact patients who gave you their email address for this kind of contact. Handwriting is the usual reason a request never arrives, so read photo-captured addresses back before saving.
What the patient receives
One short email with your practice name at the front. It has a one-line thank you and a single button that opens the Google write-a-review box for your listing. It does not carry appointment or treatment details.
If the patient does not click, one reminder goes out about two days later (that is the default and you can change it). The moment they click, the reminder is cancelled.
Healthgrades and other sites
Google is the default destination. If patients also find you on Healthgrades, paste that site’s write-a-review address into a custom link slot in Settings and ReviewHero will route and track it too. Yelp is different: its guidelines prohibit businesses from asking, so ReviewHero never sends it.
Professional boards can have their own rules about how healthcare practices solicit or respond to reviews. Check yours before you start.
No screening, ever
Every patient gets the same public link. Showing it only to patients who say they were happy is review gating, which Google’s policy and the FTC’s rule on deceptive reviews both cover. See what the FTC rule says.
Frequently asked questions
Can a dental practice send Google review requests from a phone?
Yes. ReviewHero runs on iPhone and Android, and the full app also runs in any browser at app.reviewheroapp.com. Finding your business, adding patients and tapping send all work from either.
How do we add patients without typing every email?
Take a photo of a paper sign-in sheet or intake list, or import a CSV. You check the extracted names and emails on a confirm screen before saving. Rows without an email are skipped.
Will a patient get a pile of reminders?
No. By default there is one follow-up, about two days later, and it is cancelled the moment the patient clicks your review link. You can also turn follow-ups off.
Does the email mention the visit or treatment?
No. It has your practice name, a one-line thank you and one button. Replies go to the email address on your account.
What does it cost?
Starter is $19.99 a month and Premium is $29.99 a month, flat for the whole business, month to month. New accounts get a 7-day free trial.
Put this on autopilot
